This Privacy Policy explains what data WheelLedger collects, how we use it, and your rights over it. By using wheelledger.com you agree to this policy.
What we collect
- Account info you give us: name, email, password (stored hashed — never in plain text), and optionally your business name, phone, state, and car details.
- Bookkeeping data you enter: jobs (date, time, company, pickup/dropoff, fare, paid status, notes), expenses (date, category, amount, notes).
- Session info: a session cookie so the site can remember you between visits. No third-party tracking cookies.
- Server logs: standard request logs (IP, timestamp, page) kept ~30 days for debugging and security.
What we do with it
- Show you your bookkeeping totals, summaries, and (Pro) CSV exports.
- Send you the monthly P&L summary email if you're on Pro.
- Send you account-related emails (password reset, billing receipts).
- Keep the service running and prevent abuse.
What we don't do
- We don't sell your data.
- We don't share your bookkeeping data with anyone outside WheelLedger.
- We don't use third-party advertising or marketing trackers.
Service providers we use
To run WheelLedger we rely on these vendors. Each only sees the data needed to do its job:
- Railway — hosts the app and database.
- Resend — sends transactional emails (your address, the email content).
- Stripe — processes Pro subscription payments. We never see your full card number.
- Google — Sign in with Google (verifies your identity at sign-in) and Google Maps Pro address autocomplete (receives the pickup/dropoff text you type).
- OpenAI — receives the audio/text from the "Speak your job" voice feature to transcribe and structure it. Not used to train their models.
- fueleconomy.gov — receives your car's year/make/model when you click "Look up MPG."
Your rights
- Access: you can see all your data at any time inside the app.
- Export: Pro users can download a CSV of all jobs and expenses.
- Correction: edit any job, expense, or profile field in the app.
- Deletion: you can permanently delete your account and all associated data yourself, instantly, from Settings → Delete my account inside the app. You can also email support@wheelledger.com if you prefer.
Data retention
We keep your bookkeeping data for as long as your account is active. When you delete your account from Settings, your data is removed immediately. Residual copies in encrypted backups are purged within 30 days.
Children
WheelLedger isn't intended for users under 18. Don't use it if you're younger than that.
Changes
If we make material changes to this policy we'll email you. Continued use after that means you accept the changes.
